Beginning/Ending Meetings & Local Screen Sharing
Starting a New Meeting
- If the touchscreen (control panel) is off, tap to turn it back on.
- Turn on the TV(s).
- Press the “New Meeting” button on the control panel.
- Search for people to add to the meeting, tap “Invite”, and then “Start Meeting”
Beginning a Scheduled Meeting
- If the touchscreen (control panel) in the middle of the table is off, tap to turn it back on.
- Turn on the TV(s) at the front of the room.
- Find the meeting on the left side of the control panel and click the “Join” button.
- If there is no “Join” button, the meeting was not created as a Teams meeting and/or the room was not added as an attendee, and cannot be joined via a call.
Sharing Your Screen Locally
- If the touchscreen (control panel) in the middle of the table is off, tap to turn it back on.
- Turn on the TV(s).
- If using a Yealink system, plug in the Yealink USB share device (sitting in the cup on the podium). Follow on screen instructions to launch the Yealink share program.
- Otherwise, plug your computer into the USB-C / HDMI cord coming out of the control panel.
- On the control panel, tap the “Present” button.
Ending a Meeting
- Click the red phone icon on the bottom-left of the control panel.
If leaving the room, turn off the TV.
Meeting Controls
Audio/Video
- Microphone
- To mute the room’s microphone, press the microphone icon on the bottom of the control panel.
- If the room has wireless microphones, you may also press the mic button on a microphone to mute. Note that this is separate from the control panel and may be muted independently.
- To mute the room’s microphone, press the microphone icon on the bottom of the control panel.
- Camera
- If you wish to turn off the room camera, you may do so by pressing the camera icon at the bottom of the control panel.
- Speaker
- To adjust the volume of the speaker, use the plus and minus icons on the bottom-right of the control panel.
- Screen Layout
- To adjust the layout of the front screen if content is being shared, press the layout icon to the left of the volume controls, and select the desired layout.
Participants
- Adding Participants
- To add a participant to an ongoing meeting, tap the purple “Add Participants” button on the right side of the control panel.
- Type the name or number of anyone you’d like to invite, tap on their name, and then press “Invite”.
- Participant Controls
- If there is more than one other participant, tap on a participant’s name, and a menu will appear allowing you to mute them, pin their video, or use other options.
Adding an Existing Meeting to a Room
- When Joining a Meeting
- When you first join a meeting is the easiest time to add a room. When you click the “Join” button on your laptop, the screen that gives you options for joining the meeting will show up.
- Select the “Room Audio” option on the right side of the dialog box.
- Select which room you’d like to join with, then click “Join Now” in the bottom-right corner.
- When Already in a Meeting
- If you walk into a room already in a meeting, there is no seamless way to do it, but it is possible.
- To begin, mute your computer’s speakers and microphone.
- Click the participants button in Teams on your laptop and invite the room as a new participant.
- On the room control panel, tap “Join Now” to join the meeting.
- Leaving a Room but Continuing the Meeting
- If you joined the meeting through your laptop:
- Tap the red End Call button on the room control panel, then unmute the 0microphone and speakers on your laptop.
- If you joined the meeting via the room hardware and not your laptop:
- Mute the microphone and speaker via the room control panel.
- On the control panel, tap the purple “Add Participants” button on the right side of the control panel.
- Invite yourself, then join the meeting on your laptop.
Leave the meeting on the room control panel.
